MEANS-InOut application user charter

This document aims to define the conditions of use, the scope of the services provided, the rules of confidentiality (GDPR), and the durability of the data.

1. Access to the MEANS-InOut application

To become a user, it is necessary to have a nominative account and to validate the MEANS-InOut application user charter. To obtain an access account, forms are available under the heading EMC Tools \ Inventories with Means-InOut \ Obtaining access to the MEANS platform Web site.

A user account is strictly personal, and access identifiers must not be disclosed.

The user accesses a workspace according to rights managed by the administrator of the MEANS-InOut application. The conditions of access vary according to the rights assigned and the service chosen. To find out more, see EMC Tools \ Inventories with Means-InOut \ Obtaining access.

Once logged in to their account the user can :

  • Read and download documentation
  • Create projects, in which they can
    • Create, modify, delete data
    • Apply calculation models on these data
    • Export these data
  • Access the data of projects that have been shared with him/her according to his/her rights

Documents or datasets containing personal data, i.e. directly or indirectly identifying data, may not be published and used on the MEANS-InOut application.

The user is responsible for the documentation and datasets he/she publishes on the application and ensures that this publication complies with the present charter.

2. Conditions of access to MEANS-InOut support

Support access is possible for :

  • Academic users with a "Free Access" account for 1 year (renewable 1 time).
  • Academic users with a service contract for the duration of the contract.
  • Private sector or non-academic with a "Free Access" account (without user support) for 6 months (renewable 1 time).
  • Private sector or non-academic users who subscribe to a service contract for 1 year.
  • Any user who notices a malfunction in the MEANS-InOut application.

Only the active account holder can call on the support.

Support is only requested via the contact form available in the MEANS-InOut application "Contact the MEANS Team" or via the contact form on the "Contact and Support" website.

If the MEANS-InOut application notifies to contact the administrator, the support is reachable whatever the user profile.

When support is not available, the user will only be able to rely on the documentation available online.

3. Sustainability and conservation of technical itinerary data (ITK) of users' projects

The MEANS-InOut database is backed up on Monday, Tuesday, and Friday of each week. The server hosting the MEANS-InOut application is backed up daily with a retention period of one month from the current day and depending on the storage space.

The MEANS platform is not responsible for the deletion of projects or data made by the user in the course of normal use of the MEANS-InOut application.

The technical itinerary data, linked to accounts with paid support, are kept for 10 years after the date of validity of the accounts.

For free access accounts, the technical itinerary data is deleted at the end of the validity of the accounts with a retention period of 6 months. During this period, the user may decide whether or not to subscribe to a paid service.  On the expiry date, the user will be contacted to choose between deleting the account or renewing the project with a paying service contract.

4. Privacy and data protection (GDPR)

The platform is committed to respecting the General Data Protection Regulation (GDPR).

The MEANS team disclaims all responsibility for the publication of personal data by users within the application. The MEANS team reserves the right to take any action in case of non-compliance with the charter.

When the user enters the access request forms and the administrator creates the MEANS-InOut account, the data collected is :

Mandatory data

  •  The email address of the first user.
  •  Last name of the main user
  •  First name of the main user
  •  Organisation

Optional data

  •  Last name, first name, email of additional users

The legal basis for such processing is the performance of a task in the public interest entrusted to the controller and, where applicable, the legitimate interest of the controller.

The data obtained from the forms are stored on the MEANS platform website. It is accessible only by the site administrator. Form data is kept for 5 years.

The validation of a form generates an e-mail to the address means-info@inrae.fr. This address is accessible to the members of the MEANS platform using the INRAE institutional identifiers. The e-mail is stored on the INRAE mail server and is deleted after the user's login details have been created and sent.

The data transferred in the email is identical to the data entered in the forms. They are used only for the management of the user accounts of the MEANS-InOut application.

The conditions for data retention are defined in Chapter 3 "Sustainability and retention of user project itinerary data".

The MEANS-InOut application is equipped with a user management module. It guarantees the confidentiality of projects between users. Only the project owners and the administrator (on request of the user or for support purposes) of the MEANS-InOut application can assign or modify access rights to projects (read, copy, modify) to other users.

Personal data is not transferred outside the European Union.

In accordance with the applicable legal and regulatory provisions, in particular the European Regulation No. 2016/679/EU and Law No. 78-17 of 6 January, as amended, relating to information technology, files and freedoms, the user has the following rights: right of access, rectification, opposition for reasons relating to your particular situation, limitation and deletion. Some requests may be subject to a request for proof of identity.

The user may view his or her personal data. At any time, he/she may request the modification or deletion of his/her personal data via the contact form available on the MEANS-InOut application "Contact the Means team" or on the website "Contact and support".

In the event of an explicit request for deletion of a user account by the user or the user's employer, the personal data will be deleted without a retention period. This deletion will result in the deletion of the associated account as well as all data entered by the user (project...). This action is irreversible.

In case of difficulties in exercising his/her rights, the user may also contact the Data Protection Officer:
